UNDERSTAND THE DIFFERENCE BETWEEN ADJOURNING, CONCLUDING AND POSTPONING A MEETING

By Nnabugwu Chizoba, Development Consultant/Sustainability Accountant

“After a notice of meeting” is circulated a meeting is not postponed…General rule. Please read on:
I promised in an earlier article on this platform to continue with my message on meeting related issues. Clarification of some terminologies and concepts used in the conduct of meetings is the focus.

The above is necessary, especially when it is considered that Meeting as a management tool holds many prospects for the success of entrepreneurship and small business operations.

Continuing with the discourse, let me state that the focus in this present piece is to bring out the salient but fundamental differences between the key concepts stated in the topic of this discourse.

Meeting provides opportunity for ideas engineering and intellectual intercourse among parties. It is in view of this that entrepreneurs and small business owners are encouraged through this platform to embrace meeting as a management tool and to do so with commitment and passion.

If Meetings are well structured and skillfully managed, systematically and strategically positioned as well as effectively and efficiently deployed as a tool for tapping the rich endowment of men and women by the entrepreneurs and small business owners, I can assure you that the economy would witness sudden but astronomical growth in the development of small businesses and their impact to the society.

This is so, because Meeting provides opportunity for the entrepreneurs and small business owners to attract the input of high caliber individuals into their Management’s decision making process. I find this very interesting, bearing in mind the fact that Meeting presents a formal framework to attract and keep people together to dialogue and shape their ideas, thoughts, views, opinions and perspectives on issues.

I stated in the topic that my focus is to make a distinction between Adjournment of a meeting, and the other related concepts; Concluding a meeting and Postponing a meeting.

To refresh your mind, I wish to re-state that Adjournment of a meeting simply means suspending a meeting after it has duly commenced. This implies that the Agenda/business of the Meeting is not exhausted. Thus an adjourned meeting is a continuation of the original meeting.

Delving straight into today’s discourse let me observe very quickly that “Concluding a Meeting” simply means to end a meeting after the Agenda/business of the day is exhausted.

Similarly, to “Postpone a Meeting” is to defer a meeting to a later date. A meeting is Postpone before it commences. As a general rule a meeting is not Postpone after “Notice of Meeting” has been circulated.
The next article will focus on how to adjourn a meeting.
